Archiving is the process in which emails are moved off of LSUS' email servers to another location. This will free up your storage quota for more emails.

You can set up archiving to happen manually or automatically.
Manual Archiving
- Click File > Tools > Clean Up Old Items...
- Select "Archive this folder and all sub-folders:" option.
- Select desired folder to archive (Inbox, Deleted Items, Sent Items, etc.).
- Set the date for "Archive items older than:".
- Check "Include items with "Do not AutoArchive'" to include all items.
- Click OK.
After this runs any item older than the date specified will be moved from the server to an "archive.pst" file that exists on your computer. On the left pane of Outlook you will find another email box titled "Archives", this is where your archived items will live. In addition you can also drag emails from your email account to the archive to archive individual files as needed.
AutoArchive
- Click File > Options > Advanced > AutoArchive Settings.
- Select "Run AutoArchive every" and set the interval you want it to run.
- If you want to be notified before it runs ensure "Prompt before AutoArchive runs" is checked.
- By default it will archive items older than 6 months. Change this lower or higher to your needs.
- Specify where you want the archive to live. This can be pointed to be apart of an existing archive.
- Once everything looks correct click "Apply these settings to all folders now" then OK.
Your email client will now AutoArchive items older than the set time and run on the set schedule.
Excluding Folders from AutoArchive
- Right click on the folder you want to exclude.
- Click Properties > AutoArchive.
- Select "Do not archive items in this folder".
Please be aware that if you selected "Include items with "Do not AutoArchive" checked in your AutoArchive settings it will still be archived!
Tips and Tricks
- Deleted items are not actually deleted. They get moved to the "Deleted Items" folder. Clean this out by right clicking on the folder and selecting "Empty Folder". Be aware this will permanently delete these items! You can also archive this folder to retain these emails if desired.
- Don't forget the "Junk E-mail" folder. This folder can get populated quickly with junk email. Clean it out by right clicking on the folder and selecting "Empty Folder".
- Attachments are a large reason why mailbox space gets eaten up. You can view items with attachments by clicking on View > Arrange By > Size. This will show your largest sized emails (usually with attachments). This will give you a largest to smallest sized emails for you to go through and archive, delete, or keep.
